FewShotPrep ("we", "our", "us") is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, and share your information when you use our AI-powered mock interview platform (the "Service").

We are based in the United Kingdom and comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

3. Information We Collect

We collect the following categories of personal data:

3.1 Information You Provide

  • Account Information: First name, last name, email address, profession, years of experience, and password (stored securely hashed)
  • Documents: CVs/resumes and job descriptions you upload for mock interview sessions
  • Profile Data: Profile picture and any additional information you choose to add
  • Interview Data: Voice recordings, video feeds (processed in real-time, not permanently stored), and text transcripts of your mock interview sessions

3.2 Information Collected Automatically

  • Usage Data: Pages visited, features used, interview scores, and session timestamps
  • Device Information: Browser type, operating system, and screen resolution
  • Payment Data: Managed entirely by Stripe. We do not store your credit card numbers or full payment details. We only store your Stripe Customer ID for subscription management

4. How We Use Your Data

We process your personal data for the following purposes:

  • Service Delivery: To conduct AI mock interviews, generate performance evaluations, and provide personalised feedback
  • Account Management: To create, maintain, and secure your account
  • Subscription Processing: To manage paid plan billing through Stripe
  • Service Improvement: To analyse usage patterns and improve our AI models and features
  • Communication: To send important account notifications and updates about the Service

4.1 Legal Bases (UK GDPR)

  • Contract: Processing necessary to perform our contract with you (providing the Service)
  • Legitimate Interest: Improving and securing the Service
  • Consent: Where you have given explicit consent (e.g., accepting these terms at sign-up)
  • Legal Obligation: Where we are required to process data by law

5. Data Storage & Security

  • Your account data is stored securely on Supabase (hosted infrastructure with encryption at rest and in transit)
  • Uploaded documents (CVs, job descriptions) are stored in Supabase Storage with access controls
  • Passwords are cryptographically hashed and never stored in plain text
  • Video and audio streams are processed in real-time for speech-to-text conversion and are not permanently recorded or stored
  • Interview transcripts and AI-generated evaluations are stored to provide you with session history and performance tracking
  • Payment processing is handled entirely by Stripe, which is PCI DSS Level 1 compliant

6. Data Sharing

We do not sell your personal data. We share data only with the following third parties, strictly as needed to provide the Service:

  • Supabase: Authentication and database hosting
  • Stripe: Payment processing for paid subscriptions
  • OpenAI: AI model provider for interview simulations and evaluations (data sent is limited to session transcripts and uploaded document content necessary for generating responses)

All third-party processors are contractually bound to handle your data securely and only for the purposes we specify.

7. Data Retention

  • Account Data: Retained as long as your account is active. If you delete your account, we will delete your personal data within 30 days, unless required to retain it by law
  • Interview Transcripts: Retained for as long as your account exists. You can delete individual sessions from your Dashboard at any time
  • Uploaded Documents: Stored while your account is active. Deleted when you remove them or close your account
  • Payment Records: Retained as required by UK tax and financial regulations (typically 6 years)

8. Your Rights (UK GDPR)

Under the UK GDPR, you have the following rights:

  • Right of Access: Request a copy of the personal data we hold about you
  • Right to Rectification: Request correction of inaccurate or incomplete data
  • Right to Erasure: Request deletion of your personal data ("right to be forgotten")
  • Right to Restrict Processing: Request that we limit how we use your data
  • Right to Data Portability: Receive your data in a structured, machine-readable format
  • Right to Object: Object to our processing of your data based on legitimate interests
  • Right to Withdraw Consent: Withdraw consent at any time where processing is based on consent

9. Cookies

We use essential cookies required for authentication and session management. We do not use advertising or tracking cookies. Essential cookies are necessary for the Service to function and do not require consent under UK regulations.

10. International Transfers

Some of our third-party service providers (such as OpenAI and Stripe) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) or equivalent mechanisms approved by the UK Information Commissioner's Office (ICO).

11. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that a child has provided us with personal data, we will take steps to delete such information.
